Vacancy: Executive/Project Assistant to the CEO

About the Role: 

We are seeking a full-time/part-time Executive/Project Assistant who is adept at both administrative and project management tasks and can complement the CEO’s working style. This role is ideal for someone who thrives in an environment that values analytical decision-making, innovative thinking, proactive problem-solving, and efficient project delivery.  We seek a candidate with a ‘can-do’ attitude and a strong work ethic, someone who approaches challenges with unwavering optimism and the drive to turn possibilities into realities. 

Key Responsibilities: 

  • Align with the CEO’s analytical approach by providing thorough, well-researched information to support decision-making. 
  • Support and help materialise innovative ideas into actionable plans, ensuring practical constraints are taken into account. 
  • Efficiently manage detailed aspects of projects, balancing the CEO’s big-picture focus with attention to detail. 
  • Facilitate effective communication and coordination among team members. 
  • Lead key projects such as the Annual Business Conference and manage EU project coordination. 
  • Provide high-level administrative support, managing the CEO’s schedule, meetings, and travel arrangements. 
  • Act as a liaison between the CEO and internal/external stakeholders. 


  • 2 years of experience in an Executive Assistant role with project management responsibilities. 
  • Strong analytical skills, with an ability to critically evaluate and synthesise information. 
  • Demonstrate experience in turning creative ideas into practical, executable plans. 
  • Excellent organisational skills, with a proven track record of managing detailed projects to completion. 
  • Proficiency in Microsoft Office Suite and project management tools. 
  • Excellent verbal and written English. 
  • Fluency in Maltese is considered an asset.
